Scope
The Director of Business and Finance is responsible for the management and oversight of business and financial operations of the Academy. The Director of Business and Finance also sits on the Executive Committee which is responsible for the management of day to day operations of the Academy. The Director of Business and Finance works closely with and reports to the Executive Director.
Specific responsibilities of the Director of Business and Finance include:
Major Responsibilities:
Human Resource Management
- Payroll (Salaried, Hourly, Benefits, Vacation, Personal, Sick days
- Administration of all employee benefit programs (Health Insurance, Long-Term Disability, Life Insurance, TIAA-CREF)
- Administer insurance (Medical, Dental, Short-Term Disability, Cobra); shop on a yearly basis for best available coverage
- Assist with immigration issues concerning recruitment of overseas teachers
- Audits (Employment Security, Dept of Labor, Workman’s Comp., Annual Financial Audit)
- Employment contract negotiations and employee orientation
- Communication of employee policy changes and updates
- Inform management about tax law and employment compliance issues
- Maintain attendance records of all employees, including sick leave, vacations and other applicable attendance issues
Accounting Responsibilities
- Oversee accounts payable and receivable
- Generate invoices and manage tuition and miscellaneous billing process (draft, credit cards, checks)
- Collect outstanding receivables
- Reconcile all bank statements
- Coordinate with accounting firm to facilitate annual year-end tax preparation & audit
- Oversee and implement policies for procurement
- Maintain and manage banking relationships
Budget Development and Implementation
- Prepare annual budget – responsible for gathering all departmental budgets
- Produce actual vs. budget spreadsheets at least quarterly for all Dept Heads
- Oversee actual vs. budget income and expenditures
- Work closely with Executive Director and Board on development and oversight of budget
Enrollment
- Issue contracts to incoming and returning students
- Work with all families regarding payments (tuition, catastrophic insurance, athletics, extracurricular, miscellaneous)
- Work closely with Admissions Office
- Communicate policy changes and updates to parents
- Be responsive to all business inquiries from parents
Financial Aid
- Review policies and procedures
- Work in collaboration with SSS
- Counsel families regarding financial aid program
- Prepare report for financial aid review
- Attend workshops regarding financial aid
- Act as liaison between school, student, parent, faculty and community to ensure positive relation and encourage enrollment
- Insure security, confidentiality and safety of financial aid records, promissory notes, etc.
- Coordinate review of all financial aid applications with Executive Director and financial aid review committee
Israel trip
- Negotiate with AMHSI for annual contract
- Negotiate and research travel arrangements
- Work closely with families regarding assistance for Israel trip (Federation, Jewish Family Services, Rabbis, Men’s Club, Sisterhood, etc.)
- Manage AHA financial aid program for the trip
Board Support
Work closely with Executive Director regarding all financial, management, investment and strategic issues
Summer Camps
- Work closely with Camp Organizations and Staff contact
- Evaluate overall cost of camps
- Work with Executive Director in structuring contract and business arrangements
Development Office
Work closely with Development Office to ensure that all records are accurate
Student Fundraising
Keep track of all monies received and allocated to charities
Executive Committee
Help establish organizational policies and steps for strategic development for the day to day operation of the school
Office Manager
- Responsible for logistical management of all staff employed in the Administration Building
- Bookkeeping, secretarial and front desk staff shall report to the Director of Business and Finance
Position in Organization
The Director of Business and Finance serves as a member of the Executive Committee and reports directly to the Executive Director
Job Requirements
- Significant knowledge and past experience in school business management
- Significant knowledge and past experience in accounting and bookkeeping
- Significant knowledge and past experience in school business best practices, procedures and administration
- Strong interpersonal and customer service skills
- Ability to work effectively with team members
Experience
- A minimum of five years experience in school business management
- Proficiency in languages in addition to English desired but not required
